In iAgentify every person on your team has one of four roles: Read only, Member, Admin or Owner. Each role includes everything the previous one can do, and only an owner can pay, change the plan or make someone else an owner.
The four roles, from least to most
| Role | In one sentence |
|---|---|
| Read only | Sees agents, conversations, leads, analytics and usage, without changing anything |
| Member | Also handles conversations and leads, and creates and edits agents and their knowledge |
| Admin | Also manages the team, the channels, the API keys and the company details, and deletes agents and leads |
| Owner | Also manages billing (plan, credits and card) and decides who else is an owner |
Each person’s role is shown under Team, in the Members list. On that same screen, the section What each role can do sums it up.
What each role can do, area by area
“Everyone” means all four roles. “Member and above” means Member, Admin and Owner.
| What | Where | Who can |
|---|---|---|
| See the agents, their configuration, their knowledge sources and their versions | Agents and Knowledge | Everyone |
| Create, edit, duplicate, activate and pause agents; change the look of the chat; restore a version | Agents | Member and above |
| Add, edit, re-index and delete knowledge sources | Knowledge | Member and above |
| Test the agent | Agents › your agent › Playground | Member and above |
| Delete an agent | Agents | Admin and Owner |
| Read conversations | Conversations | Everyone |
| Reply, take over, return to the AI, pause, resolve, tag and assign | Conversations | Member and above |
| See the leads and export them to CSV | Leads | Everyone |
| Change a lead’s status, details and notes | Leads | Member and above |
| Delete a lead | Leads | Admin and Owner |
| See the connected channels and their status | Channels | Everyone |
| Connect, check and disconnect WhatsApp and Instagram; request a new number | Channels | Admin and Owner |
| See who is on the team and with which role | Team | Everyone |
| Invite, revoke invitations, change roles and remove people | Team | Admin and Owner |
| Give the owner role, and change or remove an owner | Team | Owner only |
| See the plan, the credits and the prices | Billing | Everyone |
| See payments and invoices | Billing › Payments and invoices | Admin and Owner |
| Subscribe to or change a plan, buy credits, cancel or resume the subscription and remove the card | Billing | Owner only |
| Change your profile, your password, your support PIN and your notifications | Settings | Everyone, each person their own |
| Change the company details: name, billing details, time zone and language | Settings › Company | Admin and Owner. Everyone else can only view them |
| Create and revoke API keys | Settings › API | Admin and Owner |
| Read the activity log: who did what in the account | Settings › Company › Activity log | Admin and Owner |
| See the account’s support tickets | Support | Everyone |
| Open tickets, reply to them and close them | Support | Member and above |
| Read the usage figures and the credits spent | Analytics and Usage | Everyone |
The role also decides which notices each person receives: billing, credit and channel notices only go to owners and admins. See notices: what you hear about and how.
What only an owner can do
- Anything that costs money or changes the subscription. Subscribing to a plan, changing it, buying extra credits, cancelling or resuming the subscription and removing the saved card. Under Billing, every other role sees the notice “Only the account owner can change the plan, buy credits or manage the card.”
- Making or changing another owner. An admin cannot touch an owner: on that person’s row they see “Only an owner can change another owner”.
- The account always keeps at least one owner. There can be several, but the last one cannot be given another role or removed from the team. If you try, you get “The account must keep at least one owner”.
If card payment is not open yet in your account, the plan is requested through Support. See subscribe to a plan.
Change a person’s role
You need to be an Admin or an Owner.
Go to Team.
In the Members list, open the actions button on that person’s row.
Under Change role, choose the new role. You get a confirmation such as “Role of Marta changed to Admin”.
The change applies at once. Bear two cases in mind:
- Giving the owner role. The app asks you to confirm first, with the Make owner button: that person will be able to manage billing, change the plan, and change or remove other owners, including you.
- Changing your own role. If you lower your own role, you lose the permissions at once and cannot get them back yourself: someone else will have to restore them. The app warns you and asks you to confirm with Change my role.
Remove a person from the team
You need to be an Admin or an Owner. Only another owner can remove an owner.
Go to Team and open the actions button on that person’s row.
Press Remove from the team.
Confirm with Remove from the team.
That person loses access to the account and their sessions end at once. Their seat becomes free and you can invite them again whenever you want. Nothing they did in the account is deleted: their replies to customers and the agents they created stay where they are.
You cannot remove yourself from the list. If you want to leave an account, ask another admin or owner.
One person in several accounts
One person can belong to several iAgentify accounts with the same email and the same password, and hold a different role in each: useful, for example, if you run more than one business. Each account has its own plan, credits, agents and team.
When you belong to more than one, the account name becomes a menu, Your accounts, which shows your role in each. Choose another one and you will see “You are now in…” with its name.
To get into one more account, someone in that account has to invite you at the same email: when you accept, you join with your usual password. See invite people to your team.
If you cannot see a button or a section
It is almost always the role. The app says so with messages such as “Your role does not allow this.” or “You do not have access to this section”. Check your role under Team and ask an admin or an owner to change it.
