Export your leads to a CSV file

Download the leads that match your search and filters as a CSV file, and open it in Excel or Google Sheets without broken accents.

The Export CSV button under Leads downloads a file with the leads you are looking at right then: the ones that match the search and the filters you have applied, up to 10,000.

Before you start

  • Your role. Anyone on the team can export, including people with the Read only role.
  • What you want to take. The file follows the screen: with no filters you get every lead; with filters, only the ones that match.
  • It is personal data. The file contains names, emails, phone numbers and what your customers wrote. Read look after the file before sharing it.

Export the leads

  1. Go to Leads.

  2. If you only want part of them, search or filter by status, agent, channel or date received.

  3. Press Export CSV. You see “CSV file downloaded” and the browser saves a file called leads- and the day’s date, for example leads-2026-10-06.csv.

Bear in mind:

  • The order. Leads come out from the most recent to the oldest, even if the screen is sorted differently.
  • The limit. If there are more than 10,000, the file stops at the 10,000 most recent. To take the rest, export in stretches with the date filter.
  • Deleted leads are left out. A deleted lead disappears from exports.
  • It is recorded. Each export shows up as “Leads exported”, with who did it and when, under Settings › Company › Activity log, which admins and owners can see.

What the file contains

One row per lead and these columns, in this order. The headings and the separator depend on the Account language, which is under Settings › Company › Region and language: with the account in English, the headings are in English and the columns are separated by commas; with the account in Spanish, they are in Spanish and separated by semicolons.

The “Status” codes stand for New, Contacted, Qualified, Won and Lost, in that order. What each detail is can be found in leads: what your agent collects.

A value that starts with +, -, = or @, such as a phone number written with the +34 prefix, carries an apostrophe in front. This is deliberate: it makes the spreadsheet treat it as text and not as a formula.

Open it in Excel or Google Sheets

The file is in UTF-8 and carries the mark Excel needs to recognise it, so accented letters and ñ look right when you open it with a double click. If you still see strange symbols or all the data in a single column, import it instead of opening it.

In Excel

The menu names are those of the current version of Excel in English. If yours differ, look for the option that imports a text or CSV file.

  1. Open Excel with a blank workbook.

  2. Go to “Data” › “From Text/CSV” and choose the file.

  3. Under “File Origin”, choose “65001: Unicode (UTF-8)”.

  4. Under “Delimiter”, choose comma if your account is in English, or semicolon if it is in Spanish.

  5. Press “Load”.

If Excel turns phone numbers into numbers and drops the leading zeros, repeat the import and, before loading, set that column to text.

In Google Sheets

  1. Open a spreadsheet and go to “File” › “Import” › “Upload”.

  2. Choose the file. Leave the separator type on automatic detection.

  3. Press “Import data”.

Look after the file: it is personal data

Once downloaded, the file is outside iAgentify and is your responsibility: who opens it, where it is kept and for how long.

  • Export only what you need. Filter before downloading instead of always taking the whole list.
  • Keep it where only the people who need it can see it, and do not send it through open channels or to groups.
  • Delete the copies you no longer use. Deleting a lead in iAgentify does not remove it from files you had already exported.
  • Use it for the purpose the customer left their details for. In the chat form, the visitor agrees to their details being used to contact them.

If the file does not download

  • The button is greyed out. There is no lead matching that search and those filters. Press Clear filters.
  • Nothing happens when you press it. Check whether the browser has blocked the download and allow it for the app.
  • The app asks you to wait. There is a limit on how many exports one person can run in a row. Wait a few minutes and try again.
  • It still does not work. Open a ticket under Support with the filters you had applied and the time of the attempt.
